Bookings, Changes, Cancellation & Refund Policy — Sonographic Ultrasound

This policy outlines the terms relating to bookings, appointment changes, cancellations, refunds, suitability for services, and post-scan reporting for Sonographic Ultrasound. By booking a service, teaching session, or purchasing a product, you agree to the terms below. This policy should be read alongside any service-specific information provided at the time of booking.

1. Scope of This Policy

This policy applies to:

* Facial mapping services
* Tailored and bespoke ultrasound scans
* Educational consultations
* Teaching, training, workshops, and courses
* Digital products or downloadable content

Service-specific terms may also apply and will be clearly stated where relevant.

2. Appointment Date & Time Changes

Client-Requested Changes
* Requests to change an appointment date or time must be made in writing.
* Changes requested more than 48 hours before a clinical appointment may be accommodated, subject to availability.
* Changes requested within 48 hours of the scheduled appointment may be treated as a late cancellation and may be non-refundable.

For teaching, workshops, or courses:
* Date transfers may be possible if requested 7 days or more before the start date.
* Requests within 7 days may not be accepted and may be non-refundable.

All changes are subject to availability and discretion.

3. Cancellations & Refund Eligibility

Clinical Services (Facial Mapping & Tailored Ultrasound)
* Cancellations made more than 48 hours before the appointment may be eligible for a refund or reschedule.
* Cancellations made within 48 hours are normally non-refundable, due to reserved clinical time, preparation, and professional resources.

Teaching, Training & Courses
Live or In-Person
* 7+ days’ notice: may be eligible for refund or transfer
* Less than 7 days: normally non-refundable

Online Teaching
* If course materials or access are provided immediately, refunds may not be available once access is granted.

Digital Products
* Digital downloads or instantly delivered content are non-refundable once accessed, in accordance with UK consumer law.

4. Exceptional Circumstances

Refunds or rescheduling outside the standard policy may be considered at our discretion in cases such as:

* Medical emergency
* Bereavement
* Significant unforeseen circumstances

Supporting documentation may be requested.

5. Client Suitability for Ultrasound Services

Our services may not be suitable for everyone.

You must not attend your appointment if:

* You are pregnant (unless the scan is specifically intended and agreed for pregnancy)
* You have an active infection, open wound, or untreated skin condition in the scan area
* You are medically unstable or awaiting urgent medical treatment
* You have been advised by a healthcare professional not to undergo ultrasound assessment

Sonographic Ultrasound reserves the right to:

* Decline or postpone a scan if it is deemed clinically inappropriate or unsafe
* Refuse service if suitability requirements are not met
* Convert the appointment to consultation only where appropriate

Where a scan cannot proceed due to undisclosed health information, refunds may not be guaranteed.

6. Mandatory Health Questionnaire

All clients must complete a health questionnaire prior to their appointment.

* This form must be completed truthfully and in full
* Failure to complete the questionnaire may result in the appointment being delayed, cancelled, or refused
* If the questionnaire reveals that the service is unsuitable, we may cancel or reschedule the appointment for safety reasons

Completion of the questionnaire forms part of informed consent and safe clinical practice.

7. Reports & Results Delivery

Where applicable:

* Scan reports or findings will be sent to the email address provided at booking, unless otherwise agreed
* It is the client’s responsibility to ensure their contact details are correct
* Reports are typically issued within the stated timeframe provided during booking or consultation

Reports are for informational purposes and do not replace formal medical diagnosis or treatment from your healthcare provider unless explicitly stated.

8. Cancellations by Sonographic Ultrasound

If Sonographic Ultrasound needs to cancel or reschedule a booking, you will be offered:

* A full refund, or
* An alternative appointment date, transfer, or service

9. How to Request Changes or Cancellation

All requests must be made in writing via:

Requests are considered received once acknowledged.

10. Refund Processing

Where a refund is approved:

* Refunds are usually processed within 5–10 working days
* Processing time may vary depending on your payment provider
